Terms of Use
Effective date: 21 September 2026
These Terms of Use govern your access to and use of the Essential Digital Imaging Services website and its enquiry and case-submission facilities.
Essential Digital Imaging Services is referred to in these Terms as “EDIS”, “we”, “our”, or “us”.
By accessing or using this website, you agree to these Terms of Use. If you do not agree, please do not use the website or submit information through it.
1. Intended Users
The website is intended primarily for qualified clinicians, dental professionals, laboratories, healthcare organisations, educational institutions, researchers, and their authorised representatives.
You must be legally capable of entering into a binding agreement and authorised to act for any organisation or patient on whose behalf you communicate with EDIS.
2. Website Information
Information on this website is provided for general informational purposes and to describe the services offered by EDIS.
Website content does not constitute:
- Medical or dental advice
- A diagnosis or treatment recommendation
- A substitute for independent clinical judgement
- Legal, regulatory, or professional advice
- A guarantee that a particular service is appropriate for a specific patient
Service descriptions, examples, workflows, prices, and turnaround times may be updated without prior notice.
3. EDIS Services
EDIS provides digital dentistry support services that may include radiographic reporting, digital planning, CAD design, virtual surgical planning, orthodontic workflows, digital smile design, prototyping support, analysis, and related technical services.
The exact scope, deliverables, charges, revisions, and turnaround time for a case may be confirmed separately through a quotation, order confirmation, service communication, or written agreement.
If a separate agreement conflicts with these website Terms, the separately agreed terms will apply to the relevant service.
4. Clinical Responsibility
EDIS supports clinical workflows but does not replace the treating clinician.
The treating clinician remains responsible for:
- Examining the patient
- Establishing the diagnosis
- Determining whether a procedure or treatment is appropriate
- Obtaining informed patient consent
- Reviewing and validating all EDIS outputs
- Confirming dimensions, orientation, fit, measurements, and clinical assumptions
- Making final treatment and surgical decisions
- Complying with professional, ethical, and regulatory requirements
- Monitoring the patient and managing clinical outcomes
No EDIS output should be used clinically without review and approval by an appropriately qualified professional.
5. Case Submissions
When submitting a case, you agree to provide information and files that are accurate, complete, relevant, and suitable for the requested service.
You are responsible for:
- Checking file quality and completeness
- Supplying correct clinical instructions
- Identifying deadlines and special requirements
- Confirming patient laterality, anatomy, orientation, and measurements
- Informing EDIS of corrections or changes promptly
- Maintaining an independent copy of submitted materials
Incomplete, corrupted, incorrectly labelled, or poor-quality files may delay a case or affect the resulting output.
6. Patient Information and Authority
By submitting patient information, you represent that:
- You are authorised to disclose it to EDIS.
- You have obtained all required permissions and consents.
- Its submission and processing comply with applicable law and professional obligations.
- The information is limited to what is reasonably necessary for the requested service.
- You have used an appropriate case identifier and removed unnecessary direct identifiers wherever possible.
You must not submit information obtained unlawfully or information that you are not authorised to disclose.
7. Turnaround Times
Any turnaround time stated on the website or in a communication is an estimate unless expressly confirmed as a binding deadline in writing.
Turnaround may be affected by file quality, case complexity, requested revisions, delayed responses, technical problems, public holidays, or circumstances beyond our reasonable control.
8. Fees and Quotations
Prices displayed on the website, where applicable, may be indicative or starting prices. Final fees may depend on case complexity, deliverables, revisions, urgency, taxes, and additional requirements.
A quotation may remain subject to review until the submitted files and instructions have been assessed.
9. Intellectual Property
Unless otherwise stated, the website design, text, graphics, branding, service descriptions, illustrations, and other website content are owned by or licensed to EDIS.
You may view and use website content for legitimate professional reference. You may not reproduce, modify, republish, sell, scrape, or commercially exploit it without prior written permission.
Ownership and permitted use of case-specific deliverables may be governed by the applicable quotation, order confirmation, or service agreement.
10. Acceptable Use
You must not:
- Use the website for unlawful or fraudulent purposes
- Submit malicious code, malware, or harmful files
- Attempt to access restricted systems or information
- Interfere with website security or availability
- Impersonate another person or organisation
- Submit false or misleading information
- Infringe intellectual property, privacy, confidentiality, or other legal rights
- Upload information that you are not authorised to share
- Use automated tools to scrape or overload the website
We may restrict access or reject a submission where we reasonably believe these Terms have been violated.
11. Third-Party Services
The website may use or link to third-party platforms, software, file-transfer facilities, maps, analytics tools, or communication services.
EDIS is not responsible for the availability, accuracy, terms, privacy practices, or security of independently operated third-party services.
12. Website Availability
We aim to keep the website accurate and available, but we do not guarantee uninterrupted, error-free, or secure access. We may modify, suspend, or discontinue any part of the website for maintenance, security, operational, or business reasons.
13. Limitation of Liability
To the maximum extent permitted by applicable law, EDIS will not be liable for indirect, incidental, special, or consequential losses arising solely from:
- Reliance on general website information
- Website interruption or technical failure
- Unauthorised access outside our reasonable control
- Incomplete, inaccurate, corrupted, or incorrectly labelled submitted data
- Use of an output without appropriate professional review
- A clinical decision made independently by the treating clinician
Nothing in these Terms excludes liability that cannot lawfully be excluded or limited.
Any separate limitation applying to a paid service may be stated in the relevant quotation, order confirmation, or service agreement.
14. Indemnity
To the extent permitted by law, you agree to be responsible for losses, claims, or expenses resulting from your unlawful use of the website, unauthorised disclosure of patient information, infringement of third-party rights, or material breach of these Terms.
15. Privacy
Personal information is handled in accordance with the EDIS Privacy Policy. By submitting information, you acknowledge that you have reviewed that policy.
16. Changes to These Terms
We may revise these Terms from time to time. Updated Terms will be published on this page with a revised effective date. Continued use of the website after publication constitutes acceptance of the updated Terms.
17. Governing Law and Jurisdiction
